What we
are about:
- The Student Insight Team is committed to improving the way we
extract and report student-related data. We are responsible for the data for
enrollments, student credit hours, admissions and degrees awarded. By reviewing
and investigating our older systems, we will be able to eliminate log-jams and
resolve many data discrepancies. We are moving much of our processing to
PC-based systems and migrating a majority of our reports to the world-wide web.
Already having made significant strides, we are looking forward to the benefits
of additional improvements. More about

What we have
done:
- Pennsylvania Department of Education (PDE) Survey of
Educational Programs: Automated the process of collecting and reporting
this data. Coordinated with the Admissions and Registrar's offices to establish
a reliable data source. Changes enabled us to complete this report in a quarter
of the time it previously took. Completed 9/30/00
Integrated Post-Secondary Educational Data Systems
(IPEDS) Web-Based Data Collection: Generated files from Microsoft Access to
upload to IPEDS via their web site. Completed 10/15/00
Database Design: Analyzed current databases for
areas of improvement. Completed 10/31/00
Fact Book Reports: Put fifteen reports on the web.
This was a great team effort with everyone contributing and learning about
Active Server Pages - a new piece of software to make this possible.
Completed 10/31/00
CMAJR: Reviewed the process to assign budgets to
majors and courses using this University Budget Office (UBO) codeset file.
Converted current systems to use the new, longer CMAJR file that can hold more
budgets. Ensured that update processes are working correctly. Completed
4/10/01
Instructional Workload: This complicated process
built from Lotus 1-2-3 macros was analyzed and minimized. It is now much easier
to complete. Completed 5/31/01
Fact Book Phase II: Identified additional reports
and put them on the web. Made current reports dynamic using active server
pages. Completed 10/19/01

What we are doing:
- Official Database Create (ENREPT): The creation of the
mainframe Official Database is a time-consuming process. We have written a new
extract process in cooperation with the Registrar's office. We piggy-back off
of their weekly extract and pull additional data elements and derive other
fields that we need. In the process, we have resolved enrollment reporting
issues so that everyone produces matching counts. The extract is complete and
we are in the final stages of testing. Completion Target: October 2002
Admissions Reporting: We previously needed to reconcile numbers
with the Admissions Office on a regular basis. We have now determined that we can
report numbers (counts, SAT Scores, average high school GPA's) consistantly
between our offices. We are poised to begin looking at our extract and
determining how we can integrate the Admissions Office files. Since our file
also includes graduate numbers, we will be working hard to be sure we truly
simplify the overall process. Completion Target: October 2002
IAD Data Collection: Integrate Instructional
Activities Data (IAD) collection with the data collected by the
Registrar for the Schedule of Courses and class list reporting. We have
developed and implemented new data entry screens and integrated our data. We
are finding some glitches and are working with the Registrar's office to
resolve them. Complete Implementation Target: May 2002
Enrollment Projections: We need to determine if
current method of projecting fall enrollments can be simplified and still be
reliable. Since it is programmed in Lotus 1-2-3 macros, it is necessary to find
a new platform. We will be working with Enrollment Management to develop a new
method. Initial Implementation Target: October 2002.
High School Projections: We currently produce a
publication of information on High School graduates and their activities after
high school. It is used by higher education administrators and planners across
the state. We would like to develop better methodology and make it web-based.
Completion Target: May 2003
Data Packages/Student Credit Hour (SCH) Reporting:
Develop a system for reporting the Program and Performance Indicators
reports from a web-based platform. This will incorporate an analysis of our SCH
reporting including redistribution, file processing and reporting.
Official Database Create (COORS and IAD file
creates): By writing new extract programs for the creation of our course
(COORS) and instructional activities (IAD) files, we will no longer need to
create the mainframe Official Database.

What we plan to do:
- Integrate Penn College Enrollment Data: Since the
Pennsylvania College of Technology is not integrated into our data systems, we
must add their counts to our reports by hand. We would like to eliminate this
tedious process by obtaining data from them and incorporating it into our
files.
Student Data Reporting: Move reports to PC
(Microsoft Access)where appropriate. We are already making progress on this in
an ad hoc fashion.
Diploma EIS: We would like to develop an Enterprise
Information System (EIS) for our degrees awarded data. We should also
consider moving the data to the data warehouse.
IAD Move to Data Warehouse: We would like to add our
Instructional Activities data to the data warehouse. There are some security
issues that will need to be addressed.
Tuition Income Projections: This is a Lotus 1-2-3
based project that needs to be rewritten on another platform We also need to
determine if it is meeting the requirements in the best way and if it can be
simplified.
Summary Admin Area: There are questions about how
this field is set and used. We should determine if we still need it and
establish rules for setting it if we do.
IPEDS Fall Enrollment File: This file is generated
from a mainframe report generator that is no longer used to provide data for
the IPEDS Fall Enrollment report. There are still several processes and reports
that use this file. They need to be converted to a different source.
